Overview
You are an Admin and want to recover and export one or more previously sent/received LoopMail messages for a School Loop user in your School/District. When logging into your School Loop Admin account, the user is not seen in your School Loop portal for auto-logging in as that user and retrieving their LoopMail messages.
Solution
School Loop Support team can retrieve old LoopMail messages/emails of an inactive user whose information cannot be accessed by Admins. This is done by providing the messages to the Admin in a password-protected zipped file.
Below are the points to keep in mind w.r.t. the data (zipped file) that will be sent to you (Admin):
- The exported result will contain the full mailbox with the complete folder structure or only the folder/s that was/were requested for. The export will have the emails in individual HTML files from the user account creation upto the date of your confirmation or until the user was active. The data will be exported by us without reading any of the contents of the LoopMail messages.
- Some emails containing attachments may not be exported due to encryption, etc.
- The HTML files will contain the date of the message in their names.
- The resulting zipped file (containing all the HTML files) will be data exported outside of our secure servers and the HTML files themselves are readable through any browser. Eg: If someone gets access to the HTML files they will be able to read the content of the exported HTML LoopMail messages. Therefore, we can't ensure the security or privacy of the content once it is shared with you as we do now with the current School Loop login.
Open a Support ticket with us to get this data. Specify the email address with which the user is registered in School Loop and also provide your written consent for the above points in the request.

Within one Support request, only one user's mailbox data (inbox, sent, other folders, and/or historical archive) can be provided by School Loop. So, you need to open multiple requests if the data is needed for multiple users.
Testing
After the Support team has sent you the password-protected zip file, you will be able to extract that file (using the password) locally on your computer and find the required emails of the user in HTML form.
